CARE Egypt Foundation (CEF):

CARE Egypt Foundation (CEF) is a non-governmental organization registered with the Central Administration of Associations and Federations at the Ministry of Social Solidarity under registration number 2018/833.

CARE Egypt Foundation builds on and benefits from the legacy and expertise of CARE International in Egypt, which extends back to 1954. The Foundation assumes responsibility for designing, implementing, and managing development programs and projects aimed at improving living conditions and quality of life. This is achieved by responding to and addressing the root causes of poverty and meeting the most urgent needs of the poor and marginalized groups in Egypt, using a sustainable approach consistent with local and national cultures, realities, and local and national contexts.

“Roots of Sustainability” Project:

The Roots of Sustainability project, funded by the German Agency for International Cooperation (GIZ), aims to strengthen the capacities of non-governmental organisations working in the environmental field in Upper Egypt.

The project seeks to build and strengthen the institutional capacities of ten partner NGOs in Assiut Governorate, enabling them to design, implement and manage sustainable environmental initiatives, particularly in solid waste management, promoting circular economy practices, agricultural waste recycling and raising environmental awareness in local communities. The partner organisations work in a number of villages and communities in Assiut Governorate, including Sadfa, Mankabad, Abnub, Dairut, Musha, Shutb, El-Badari, Bani Shuqair and other communities targeted by the project.

Within the framework of the project, CARE Egypt Foundation has delivered a structured capacity-building programme for the ten partner NGOs, including project management training, financial management and compliance training, reporting and documentation training, technical/thematic training on environmental topics, and technical coaching clinics, alongside regular field monitoring visits and the initiatives implemented by the NGOs themselves.

Documentation, Success Stories and Branding/Visibility Component:

CARE Egypt Foundation seeks to contract a qualified photographer/videographer or production service provider to document the project’s activities with care and attention to detail — with particular emphasis on the capacity-building trainings and coaching clinics delivered to the partner NGOs — and to prepare a set of written and visual success stories showcasing the most distinguished initiatives implemented by the partner NGOs, in addition to preparing branding and visibility materials that reflect the project’s identity and results in line with the visibility requirements of GIZ and the European Union.

Objective of the Assignment:

This assignment aims to produce a well-crafted visual and narrative record of the Roots of Sustainability project’s activities, particularly its training and capacity-building component, and to distil this record into a set of high-quality success stories and branding/visibility materials that can be used for donor reporting, communication with partners, and the project’s closure documentation.

The assignment aims to achieve the following:

  • Producing high-quality photographic and video coverage of the partner NGOs’ activities and the project’s activities in general, with priority given to the project management, financial management, reporting and technical/thematic training sessions and the coaching clinics delivered to the ten partner NGOs.
  • Documenting field monitoring visits and the environmental initiatives implemented by the partner NGOs (solid waste management, circular economy, agricultural waste recycling and environmental awareness activities).
  • Preparing five (5) written and visual success stories reflecting the most distinguished initiatives implemented by the partner NGOs, in coordination with the Project Manager for the selection of organisations and initiatives, and in compliance with informed consent and data protection requirements.
  • Producing branding/visibility materials for the project and the partner NGOs (such as a short highlight video and/or a set of social-media-ready visual materials) in line with GIZ and EU visibility requirements.
  • Delivering an organised digital archive of all raw and edited photographic and video materials produced under the assignment.

Scope of Work and Key Expected Deliverables:

  1. Preparation Phase:

The consultant/service provider will undertake the following tasks:

  • Holding an introductory meeting with the CARE Egypt team, led by the Project Manager, to understand the objectives of the assignment, the priority activities to be covered (particularly the remaining trainings and coaching clinics), the target audience, and the intended uses of the success stories and branding materials.
  • Reviewing the relevant project documents, including the training schedule, the list of partner NGOs and their initiatives, previously collected photos/videos (if any), and any GIZ/EU visibility guidance already in use on the project.
  • Preparing a shot list/coverage plan and a proposed visit schedule covering the training sessions, coaching clinics, field monitoring visits and the initiatives of the ten partner NGOs.
  • Proposing a shortlist of candidate NGOs/initiatives for the five success stories, for review and approval by the Project Manager.
  • Establishing a clear plan for informed consent, data protection and the use of photos, quotations and footage, in compliance with CARE Egypt’s safeguarding and confidentiality policies.
  • Submitting the proposed coverage plan, shot list and consent forms to CARE Egypt Foundation for review and approval before field documentation begins.
  1. Field Photography and Video Documentation:

The consultant/service provider will carry out the following documentation activities, including but not limited to:

  • Producing high-quality photographic and video coverage of the project management, financial management, reporting and technical/thematic training sessions delivered to the ten partner NGOs, as well as the coaching clinics.
  • Conducting field visits to document the partner NGOs’ environmental initiatives (solid waste management, circular economy applications, agricultural waste recycling and awareness campaigns) and the monitoring visits carried out by the CARE Egypt team.
  • Keeping pace with the activities and initiatives the partner NGOs will be rolling out through the rest of the project (up to the end of September 2026), coordinating with the Project Manager in advance to confirm the date of each activity before it takes place.
  • Documenting the project’s closure event and any remaining key milestones, subject to the final schedule agreed with the Project Manager.
  • Conducting short interviews with NGO representatives, trainers, and beneficiaries where relevant to support the success stories, in compliance with informed consent requirements.
  • Delivering both raw (unedited) files and carefully edited photos and video clips, organised by activity/NGO/date.
  1. Success Stories:

The consultant/service provider commits to the following:

  • Collecting and writing five (5) success stories reflecting the most distinguished initiatives implemented by the partner NGOs, each including a narrative text (approximately 500-700 words), supporting high-quality photos, and a short video clip (approximately 2-3 minutes) where feasible.
  • Preparing a short, social-media-ready version (snapshot) of each success story for use in communication with partners and donors.
  • Submitting the draft success stories to CARE Egypt Foundation for review and integrating the technical, language and consent-related comments before finalization.
  1. Branding and Visibility Materials: 

The consultant/service provider commits to the following:

  • Preparing branding/visibility materials that highlight the project’s results and the partner NGOs, such as a short highlight video (approximately 3-5 minutes) and/or a set of visual materials suitable for social media and printed communication.
  • Ensuring every item produced complies with GIZ’s visibility requirements and the European Union’s “Communicating and Raising EU Visibility for External Actions” guidance (logo placement and hierarchy, required disclaimer text, and colour/branding guidelines).

*Noting that any material intended for public release (beyond the project’s routine brief mentions) needs prior coordination with GIZ before it goes out, following the project’s approval process.

Deliverables:

The consultant/service provider will submit the following deliverables:

  1. A coverage plan/shot list and a proposed visit schedule for CARE Egypt’s review and approval before field documentation begins.
  2. An organised set of high-resolution photographs and edited video clips covering the training sessions, coaching clinics, field visits and the partner NGOs’ initiatives.
  3. Five (5) written and visual success stories, each with a narrative text, supporting photos and a short video clip where feasible, plus a short social-media-ready version of each.
  4. A branding/visibility materials package (short highlight video and/or social-media-ready visual materials) that meets GIZ/EU visibility requirements.
  5. An organised digital archive of all raw and edited photographic and video materials, delivered via an external hard drive and/or a shared cloud storage link, with a list of captions/descriptions where available.

*The consultant/service provider must comply with CARE’s policies on safeguarding, protection from sexual exploitation and abuse (PSEA) and confidentiality, and may not share any data or documents related to the project or the partner organizations without prior approval from CARE Egypt Foundation
